Document Requirements

Transcripts and Certification Requirements

Proof of Education is required at the time of application at the time of application for all applicants in the following situations:

  • You are substituting education for specialized experience or using a combination of education and experience to qualify for a position.
  • You are applying to a job posting that has a basic education requirement, such as for accounting, auditing or contracting positions.
  • You indicate you have a degree.
  • When transcripts are listed as a required document within the vacancy announcement.

Acceptable Documentation

If transcripts or proof of education are required at time of application, the following documentation is acceptable as proof of education. Be sure to document your degree information in your resume.

  • Official transcripts. Official transcripts include the college or university registrar's (or other authorized official's) signature, seal or stamp. A photocopy of the transcript(s) is acceptable as long as the signature, seal or stamp is clearly legible.

  • Unofficial transcripts

  • Listing of courses, grades earned, completion dates and quarter/semester hours earned through your USAJOBS account.

Documentation Requirements

  • Your name and school name must be on the transcript and/or proof of education.

  • Coursework will only be accepted from an accredited institution and included on the U.S. Department of Education list of accredited schools.

  • Foreign education must be equivalent to education of degrees acquired at accredited college, universities, or educational institutions in the United States to be acceptable for Federal employment. The process for verifying the credentials is listed on the Office of Personnel Management's application qualifications standards for educational and training requirements on foreign education (4.a.3).

  • The announcement's "How to Apply" and “Required Documents” tabs will have all other pertinent directions for submitting application. 

Once selected and prior to the appointment, you will be required to submit official transcripts. Please note, grade reports and copies of college diplomas are not considered official transcripts. Please see the above Acceptable Documentation section for more details about official transcripts.

Professional Credentials or Licenses

When using a professional certificate or license to meet the qualifications as stated in the job announcement, the following documentation is acceptable:

  • Copy of certification

  • Copy of license

  • Official correspondence from the credentialing agency stating you have passed all requirements and your certification or license if forthcoming

 

Current DFAS Employee info

When applying to GS-510 Accountant or GS-511 Auditor job postings through merit promotion procedures, proof of education is not required if previously determined to meet the basic education requirement for these series. If applying to job postings open to all US citizens, proof of education is required.

Always read the "Qualifications" and "How to Apply" tabs of the vacancy announcement and follow the instructions for submitting proof of education. If required proof of education has not been received by the closing date or by the date your resume is reviewed for an open continuous announcement, your application will be deemed incomplete and you will not be considered for the position(s).
